Instructions for Abstract Submission

All abstracts must be submitted electronically via the World Wide Web, at

http://www.asas.uiuc.edu/99meet/

Instructions for submitting the abstract are available on the Web site. After the deadline it will not be possible to submit abstracts using this form. You will be given a tracking number and password when you submit the abstract. It is very important that you keep a record of these. You may revise submitted abstracts any time before the deadline, but you can only access your abstract using the password and tracking code. Headquarters will not have access to your tracking number and password if you lose them.

Space limitations allow a maximum of 2,300 keystrokes (including characters, spaces, and punctuation). Begin count at the title and end count with the last key word or end of a table if one is included. Abstracts that are too long will be rejected automatically by the system. Keystrokes should be counted before you add any special coding. The coding is not counted in the total keystrokes.

If you must use boldface, italic or sub-/superscript type anywhere in the abstract, consult the Text Attributes Coding information on the other side of this sheet for the special coding. This coding is not counted in the 2,300 allowed keystrokes. Special characters such as Greek letters and math symbols are available on the electronic submission form itself.

Abstract submissions to Physiology and Endocrinology will be limited to one poster or one oral per presenting author.

Important Note:

The character boxes to the right of the text area are provided so that you do not have to insert TeX coding for these characters yourself. Clicking on one of these characters in the box will insert the code for that character into your abstract document. Please Note: characters you choose from the boxes always appear at the end of the text already present in the abstract text area. If you have pasted your abstract into the text area from another word processor file, any special character you choose will appear at the end of your abstract. Simply highlight the code for this character then cut and paste it into the correct location in the abstract text.

If Your Abstract Includes a Table:

Although including a table in your abstract is not encouraged, the electronic submission form does allow submission of

tables. However, you must send one printed copy and a disk containing the abstract and table to FASS Headquarters so that we can verify table layout. Files should be saved as WordPerfect or Word files compatible with Windows 3.x. The version of the abstract that you mail does not have to include the coding for special characters you may have inserted during electronic submission. Use tabs or spaces to line up columns in the table (one tab or one space is counted as one keystroke). Do not use a word processor’s table format.

The printed abstract width allows for 70 keystrokes per line, including spaces; keep this in mind when formatting the table. Tables that are too wide may not be printable. We wish to avoid having to decrease the type size of an abstract to accommodate tables that are too wide, because this makes the abstract nearly unreadable.

Important: Provide the name and version of the origination software, the operating system, the name of the first author, the file name(s), program section, and the abstract tracking number on the diskette label and the program section and the tracking number on the printed copy of the abstract. Only abstracts with tables need to be mailed to FASS Headquarters.

Text Attributes Coding Information

To make a word boldface, type \bold{word}

To italicize a word, type \italicize{word}

To make a character superscript, type $^{3}$ (superscript 3 in this example)

To make a character subscript, type $_{2}$ (subscript 2 in this example)

To insert a hat above a character, type \hat{a} (â in this example)

Do not insert any extra spaces between the coding string and the adjacent characters in a word or expression. Do not use your word processor’s attribute functions to create bold, italics, or super-/subscripts. You must use the coding given above. The characters %, #, $, &, _, ^, and {} are used by the LaTeX formatting language, which we use to format the abstract. If you need to use one of these characters in your abstract, it must be preceded by a \ (backslash).

Special math and Greek characters are available from a grid on the submission form itself.

If your abstract includes a table, you must also include coding for text attributes in the table. This includes the italicization, superscripting and subscripting of numbers and letters in the table and the footnotes. The printed version you mail to FASS Headquarters must clearly indicate which (if any) type should be italic, bold, super- or subscript and any special characters needed should be printed as they will appear in the final version.

GENERAL INFORMATION: Members are encouraged to submit research papers. Oral papers or posters should consist of original, completed research that has not been accepted for publication in a research journal. Members are encouraged to present research reports in poster sessions to expand the presentation of material, to facilitate discussion of research results among members, and to diversify the meeting format.

Authors need to be aware of patent considerations before submitting abstracts for publication.

DUE DATE: Abstracts must be submitted via the Web site (by midnight) and hard copies (postmarked) on or before February 15, 1999. Abstracts not meeting this deadline will be rejected.

ABSTRACT REQUIREMENTS: The author submitting the abstract is responsible for its content and quality of preparation.

Individual Program Committees have the responsibility to accept or reject abstracts. Criteria for acceptance or rejection will include those outlined in these instructions and "Quality Standards for Abstracts" (see over side of this sheet), as well as originality, clarity, and merit. Consolidation of results into one combined paper is urged whenever possible.

The Program Secretary has authority to restrict the number of abstracts accepted. If withdrawal of an abstract becomes necessary, notify Jeff Armstrong, Program Secretary, immediately.

AUTHOR NOTIFICATION: Receipt of the Web site submission of the abstract will be acknowledged by e-mail within 24 hours. Authors of rejected abstracts will be sent a letter stating the abstract has been rejected. As soon as the program is finalized with days, times and locations it will be on the ASAS Web site. Hard copies of the program will be mailed in May.

PRESENTATION INFORMATION: LCD Projectors and 2" x 2" Slide Projectors will be available for presentations and supplied by the host institution. Please specify which you will use at the time of your abstract submission. If you require special equipment, please complete the "Special AV Needs Request Form" found in this packet. See the Bright Orange flyer in this mailing for detailed information on presentations using the LCD Projectors. Projected material (2" x 2" slides) should include large letters for easy reading. See "Slide Preparation Guidelines for Oral Presentations" (enclosed). Poster presenters must be present at their poster for approximately two hours of the time that the poster is on display. The boards will be 4' high and 8' wide. Presenters must furnish their own tacks or stick pins (no Velcro).

The usual scheduled time for presentation of each oral paper is 12 minutes with 3 minutes for questions, discussion and speaker transition. Individual Program Committee Chairs have the prerogative to ask some presenters to use a time other than 15 minutes. Also Individual Program Committee Chairs have the prerogative to place papers submitted for oral presentation into a poster presentation (or vice versa).
