2021 ASAS-CSAS-SSASAS Annual Meeting

My fifteen years at ASAS equates to planning 16 national meetings, more than 50 sectional meetings, 10 meetings outside the United States and a variety of smaller specialty meetings. Some things about planning meetings never change and other things are a little like a wedding, only the bride and her mother truly know what was supposed to happen and as long as the marriage occurs, nobody really knows if the details went as planned! ASAS is lucky to have a gifted staff that knows how to plan a meeting or at least they did before the COVID-19 Global Pandemic. With COVID came the rapid shift to virtual for the 2020 Western Section Meeting and the Annual Meeting and the 2021 Midwest Meeting, followed by combining Southern Section with Annual and moving Western Section to October. Now 10 weeks out from the 2021 ASAS-CSAS-SSASAS Annual Meeting, we are planning our first complete hybrid. What does this mean?

  1. We are planning to be live and in person in Louisville in July! Right after ADSA announced movement to virtual, the registration for the ASAS Meeting came to a dramatic halt and people cancelled their reservations at the hotel. We believe people assumed, ASAS was quickly planning to follow suit and go virtual. We understand and respect the reasons ADSA opted for virtual, but with increased vaccination, the ease of group limits in Louisville, and our own ability to add numerous safety precautions coupled by the desire of our members to get back to face-to-face meetings, we strongly believe we can have a productive and safe in-person meeting.

  2. We know not everyone is ready to travel, so there will be a virtual option with as much interaction as possible with the in-person attendees and presenters.

We head to Louisville next week to meet with the city, the Convention Center and the hotels to discuss the best ways to maximize attendee experience and safety. We will be pushing out our Covid prevention plan in May and as expected we already know to accommodate the hybrid meeting we will be asking presenters to do a few additional things this year. If you have suggestions or concerns, please forward them to us in the office so that we can add to the program or address the issues.

I believe the board fully committed to an in-person with hybrid options about a month ago and of course ever since making that commitment, we have been looking for confirmation that we made the right decision, as of today:

  1. We have 5% more abstracts than we had at our last in person meeting in 2019.

  2. Registration as of today is almost exactly the same as of this date in 2019.

  3. 15% of the registrants are registering for the virtual option versus the in person.

As each day passes and each new registration is received, we are getting more and more excited for the 2021 ASAS-CSAS-SSASAS Annual Meeting in Louisville!
